Introduction
WellKept (“we,” “our,” or “us”) is a home maintenance tracking application that helps homeowners log services, manage vendors, and keep a record of work done on their homes. This Privacy Policy explains what information we collect, how we use it, and your choices regarding your data.
We believe in being straightforward about data practices. We collect what we need to make the app work, we don't sell your personal information, and we give you control over your data.
This policy applies to the WellKept mobile application and the WellKept website (collectively, the “Service”).
Information We Collect
Information You Provide Directly
When you use WellKept, you provide us with:
- Account information: Your name, email address, and password when you create an account.
- Home information: Details about your home, such as address, home type, year built, and property characteristics that you enter during setup or that are populated from public records.
- Service records: Information about home maintenance and repairs you log, including service descriptions, dates, costs, categories, and notes.
- Vendor information: Names, phone numbers, email addresses, and categories for service providers you add.
- Chat conversations: Messages you send to the WellKept chat agent when logging services or asking questions.
- Forwarded emails: When you forward invoices or receipts to the WellKept forwarding address, we receive and process the email content, including sender information, subject line, body text, and any attachments (such as PDFs, images, or documents). This data is used to automatically create service records on your behalf.
- Documents and photos: Any invoices, receipts, or images you attach to service records or forward via email.
- Equipment records: Details about home equipment and appliances you track, including make, model, serial numbers, and installation dates.
- Notification preferences: Your settings for how and when you'd like to be notified.
Information Collected Automatically
When you use the app, we may automatically collect:
- Device information: Device type, operating system version, and app version.
- Usage information: How you interact with the app, such as which features you use and how often.
- Error and performance data: Crash reports and performance metrics via Sentry to help us fix bugs and improve reliability.
- Push notification tokens: If you enable notifications, your device's push notification token is stored so we can deliver alerts such as service reminders and warranty expiration notices.
Information We Do NOT Collect
- We do not access your email inbox, contacts, or other apps on your device. When you use our email forwarding feature, we only receive and process emails that you actively forward to us — we never connect to or scan your email account.
- We do not collect precise GPS location data.
- We do not collect financial account information, credit card numbers, or banking details. Cost information you enter for service records is simple dollar amounts you type in — we have no connection to your financial accounts.
How We Use Your Information
We use the information we collect to:
- Provide the Service: Store your service records, vendor information, and home details so you can access them across devices and sessions.
- Power the chat agent: Process your messages through our AI providers to understand your input and log services accurately. See the “Third-Party Services” section below for details.
- Process forwarded emails: Receive invoices and receipts you forward to us, extract relevant service details, and create records on your behalf.
- Build your home's knowledge graph: Aggregate your service history, equipment, and vendor data to provide personalized maintenance insights and recommendations.
- Improve the Service: Understand how the app is used so we can fix issues, improve features, and build new functionality.
- Communicate with you: Respond to support requests and share important updates about the Service.
- Generate insights: Provide you with spending summaries, maintenance timelines, cost drivers, and other analytics about your home maintenance history.
We do not use your information to show you advertisements. We do not sell your personal information to third parties.
Future Data Uses
As WellKept grows, we may use aggregated, anonymized data (meaning data that cannot identify you personally) to generate insights about home maintenance trends, costs, and patterns. This aggregated data may be shared with partners such as insurance companies, real estate platforms, or service providers. If we pursue this, we will update this policy and provide you with the ability to opt out before any such sharing occurs.
Data Storage and Security
Your data is stored in a PostgreSQL database hosted on Railway's cloud infrastructure. This includes your account information, home details, service records, vendor information, equipment records, notification preferences, and push notification device tokens. Your account password is hashed and encrypted — we cannot see your password and do not store it in plain text.
Any photos or documents you attach to service records are stored separately using Cloudinary, a third-party cloud media service.
We take reasonable measures to protect your information from unauthorized access, loss, or misuse, including rate limiting, input validation, and security headers. However, no method of electronic storage or transmission is 100% secure, and we cannot guarantee absolute security.
Data Retention
We retain your data for as long as your account is active. If you delete your account, we will delete your personal data within 30 days, except where we are required to retain it by law or for legitimate business purposes (such as resolving disputes or enforcing our terms).
Third-Party Services
WellKept uses the following third-party services to operate:
OpenAI (Primary AI Provider)
When you send messages to the WellKept chat agent, your messages are processed by OpenAI's API to understand your input and extract service details. Your chat text is sent to OpenAI for processing. We do not send your email address, password, or other account information to OpenAI. For more information, see OpenAI's privacy policy.
Google Gemini (Fallback AI Provider)
Google Gemini serves as a fallback AI provider. When used, your chat messages are processed by Google's Gemini API. For more information, see Google's privacy policy.
Railway (Application Hosting and Database)
Your account information, service records, vendor data, and other app data are stored in a PostgreSQL database hosted on Railway's infrastructure. Railway's handling of data is governed by their privacy policy.
SendGrid (Email Forwarding)
When you forward invoices or receipts to the WellKept forwarding address, the inbound email is received and processed by SendGrid (a Twilio company). SendGrid's privacy policy is available at twilio.com/legal/privacy.
Cloudinary (File Storage)
Photos and documents you attach to service records or forward via email are stored using Cloudinary. Cloudinary's privacy policy is available at cloudinary.com/privacy.
Expo (App Platform and Push Notifications)
WellKept is built using Expo and React Native. Expo handles push notification delivery. For details, see Expo's privacy policy.
Sentry (Error Monitoring)
We use Sentry to collect crash reports and performance data to improve app reliability. For details, see Sentry's privacy policy.
Vercel (Website Hosting)
The WellKept marketing website is hosted on Vercel. For details, see Vercel's privacy policy.
Future Services
We may add additional third-party services in the future. When we do, we will update this policy to reflect those additions.
Your Rights and Choices
Access and Export Your Data
You have the right to access the personal data we hold about you. You can view all of your service records, vendor information, and home details directly in the app. If you would like a complete export of your data, contact us at support@wellkept.me.
Correct Your Data
You can edit your service records, vendor information, and profile details directly in the app at any time.
Delete Your Data
You can delete individual service records and vendors from within the app. If you would like to delete your entire account and all associated data, contact us at support@wellkept.me and we will process your request within 30 days.
Opt Out of Communications
You can disable push notifications through your device settings at any time. If we send you marketing emails in the future, they will include an unsubscribe link.
California Residents
If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect, the right to request deletion, and the right to opt out of the sale of personal information. Children's Privacy
WellKept is not intended for use by children under the age of 13. We do not knowingly collect personal information from children under 13. If we learn that we have collected information from a child under 13, we will delete it promptly. If you believe a child has provided us with personal information, please contact us at support@wellkept.me.
Changes to This Policy
We may update this Privacy Policy from time to time. When we make changes, we will update the “Last updated” date at the top of this page. For significant changes, we will notify you through the app or by email.
